Legal Assistant
Hayes Dolce LLP is a labor and employment law firm based in New York State, representing workers, unions, and worker organizations.
We are hiring a legal assistant to support our attorneys with intake, case organization, and the systems that keep the firm running day to day.
The role starts part-time and has the potential to grow into a full-time position. We are looking for someone who treats every caller with patience and respect, often when they are dealing with a difficult situation at work, and who understands why worker representation matters.
Responsibilities
Manage client intake: monitor the firm's intake system and new client inquiry forms, respond to inquiries, gather case details, run conflict checks, and route matters to attorneys
Open new matters and prepare engagement and retainer paperwork for signed clients
Provide clerical support for litigation: proofread and prepare letters, briefs, and templates, and set attorneys up for hearings and trials
Prepare and format correspondence and legal documents, and assemble exhibits and materials for hearings and arbitrations
File documents and track service across the forums the firm uses, including state and federal court, the NLRB, NYS PERB, the EEOC, the NYS Division of Human Rights, and the Department of Labor
Maintain the firm's file and case management systems, including its file numbering and organization standards
Keep case files and documents organized and current, and handle copying, scanning, and filing
Maintain the firm calendar of hearings, filing deadlines, and statutes of limitations, flagging what is coming up
Request and organize records, including personnel files, pay records, and other case documents
Attend client meetings to take notes and serve as a witness
Schedule meetings, depositions, and client calls
Manage phones, mail, and attorney email, including certified mailings tied to deadlines
Track time and support billing, cost tracking, and invoicing
Field and route press inquiries
Qualifications
Strong organization and close attention to detail
Clear, professional, and warm communication, by phone and in writing
Discretion with confidential and sensitive information
Comfortable learning court and agency e-filing systems and case management software
Able to track deadlines and keep several matters moving at once
Legal or administrative experience preferred
Commitment to the firm's mission
Compensation and Schedule
Hourly range: $25 to $40 per hour, commensurate with experience
Starts part-time at approximately 20 hours per week, with potential to become full-time
Based in Buffalo, NY [hybrid flexibility, if applicable]
